About

A services company approached Autuskey with an HR problem that no standard HRMS solved. Leave management was not just an internal matter for them. Their clients needed to know which team member was available on which day, and answering that question meant emails, calls and manual coordination every week.

They wanted a leave calendar they could expose directly to clients, so availability was never a conversation again. Around that core, they needed the everyday HR layer handled too: attendance, time tracking, reminders and reporting, without anyone maintaining it manually.

Autuskey built a focused micro app instead of a bloated HRMS: a leave and time management system that lives inside Slack, tracks attendance automatically for both office and remote teams, and puts team availability one link away from every client.

The Challenge

Leave visibility was the daily friction point. Clients planning work with the team had no way of knowing who was on leave, and the team spent time every week communicating availability manually.

Internally, the routine HR layer ran on memory. Check ins and check outs were not systematically informed to the team, holidays and long weekends surprised people, birthdays were missed, and remote versus office attendance lived in disconnected places.

Key operational gaps included:

  • No shared view of team leaves, internally or for clients

  • Check ins and check outs invisible to the rest of the team

  • Holiday, long weekend and birthday reminders dependent on memory

  • Work from home time tracking disconnected from office attendance

  • No role based reporting for different types of team members

The company needed one lightweight system for all of this, not another heavy HR platform the team would resist using.

The Solution

Autuskey developed a micro HRMS with Slack as the communication layer and automation at every routine touchpoint.

Key implementations:

  • Leave management with a team calendar showing who is on leave on which day

  • Client facing calendar access, so clients see team availability directly without asking

  • Automated daily check in and check out messages on Slack, keeping the whole team informed

  • Dedicated Slack channels for each team, with messages routed automatically to the right channel

  • AI powered automated reminders for holidays, long weekends and birthdays, so nobody has to remember dates

  • Direct API integration with the time management system for work from home tracking

  • Location based check in and check out for office employees within a defined office radius

  • Role based dashboards for different types of team members

  • Full HRMS reporting layer on top

The principle stayed the same as always: the system goes where the team already is. Nobody opens a separate HR portal for daily routine, everything arrives on Slack.

Result

Team availability stopped being a conversation. Clients now check the calendar and plan work accordingly, and the weekly back and forth on who is available disappeared.

Attendance became fully automatic across both modes of work: remote hours tracked through direct integration, office presence captured through location based check in. Every check in, leave, holiday and reminder reaches the team on Slack without a single manual message.

HR routine that earlier depended on memory and follow ups now runs entirely on the system.

HRMS covers exactly the HR functions a company actually uses, in this case leaves, attendance, time tracking and reminders, without the recruitment, payroll and appraisal modules that make standard platforms heavy. Teams adopt it because there is nothing extra to learn.

Yes, and for service businesses it changes the client relationship. This company exposed its team leave calendar to clients directly, so clients always know who is working on which day and plan their requests accordingly, without a single availability email.

The system defines a radius around the office. Employees check in and check out from their phone, and the system validates they are within that radius. Office attendance gets captured accurately without biometric hardware or manual registers.

Through direct API integration with the time management system. Remote team members' working hours flow into the same platform as office attendance, so management sees one unified view regardless of where anyone works.

Slack is the communication layer for everything. Daily check in and check out messages, leave updates, holiday and long weekend alerts and birthday reminders all arrive automatically in dedicated team channels. Nobody remembers dates, and nobody opens a separate portal.

The AI layer decides what to send, to which channel, and when, based on the team structure and calendar context. Reminders reach the right people at the right time without anyone configuring or triggering them manually.

Yes. The system serves role based dashboards, so a team member, a team lead and management each see the view relevant to them, with a full reporting layer available on top for HR and leadership.

Autuskey has delivered 300+ projects since 2015, ranging from single websites to full custom software platforms with multiple modules, for clients across India, the Middle East, Europe, and the US.

Where a client has agreed to it, we connect you directly with people we have worked with so you can ask candid questions about how the project actually went. It is one of the most useful checks you can make, and we encourage it.

Our portfolio spans wellness, hospitality and nightlife, residential and hostel management, and more, across all five services from audits to new product builds. Tell us your problem and we will point you to the closest examples rather than a generic showcase.

Because we start from the business problem, our case discussions focus on what the project was meant to change and what it did, not only how it looks. Where clients permit, we share the outcome and the reasoning behind the build, not just visuals.

We only show client work with permission and operate under NDAs where needed. Your project details stay confidential unless you explicitly agree to be featured, and you retain ownership of your code, data, and accounts throughout.

We do not clone past builds; we start again from your business problem so the result fits you, not the previous client. A past project is a useful reference point, and a Technology Audit & Roadmap is the usual first step to define what your own version should be.

Starting something new?

We help you build it right from day one so you never have to rebuild.
