About

An Abacus Coaching Center was running its entire operation offline. Student records, fee collections, follow-ups and homework class attendance were all tracked manually across registers, spreadsheets and personal chats.
As the number of students grew, the center lost visibility over the basics: who had paid, who needed a follow-up, who attended homework class and how many students were still pending. Information lived with individual staff members rather than in one place, which meant payment follow-ups slipped, attendance was reconstructed from memory and management had no reliable view of the center at any given point.
At the same time, the center had an online presence that generated interest but did not carry that interest anywhere. Parents who found the center on the web had no clear path from enquiry to admission, and every lead had to be handled manually.
We designed a connected experience: a parent-first website that takes visitors from discovering a program to completing admission, and an internal administrative tool that gives the center a single place to manage students, fees, follow-ups and homework class attendance.

Impact
90%
Centralized student, fee, and attendance records in one place.
Impact
100%
Connected enquiries directly to a streamlined admission process.
The Challenge

The center needed to solve two connected problems at once: an online experience that stopped short of admission, and an offline operation that had outgrown paper.
The experience needed to:

  • Make the center’s programs clear to parents and build confidence before they enquire.
  • Create a defined path from website enquiry to confirmed admission.
  • Capture parent, student, course and scheduling information in a structured way.
  • Give the center one place to view every student and their current status.
  • Track fee schedules, payments received and outstanding balances.
  • Show which payment follow-ups are due, who owns them and what happened last.
  • Record homework class attendance without relying on registers.
  • Show how many students are pending at any stage, whether that is pending fees, pending follow-ups or pending attendance.
  • Remove dependency on individual staff members holding information.
  • Give management a reliable view of the center without asking for manual reports.
The Solution

We built a single connected system where the public website and the internal administration tool feed each other, so information entered once flows through the entire journey.
The redesigned experience introduced:
On the parent-facing side

  • Clear program discovery to help parents understand what the center offers.
  • Parent-focused content explaining the learning journey, benefits and approach.
  • Testimonials, success stories and FAQs to build trust before the enquiry.
  • Structured enquiry and demo booking forms that capture parent, student, course, location and timing details.
  • A guided path from enquiry to admission so interested parents are not left waiting for a manual response.

On the internal administration side

  • A centralised student database holding profiles, program details, batch and contact information.
  • An enquiry-to-admission pipeline that shows where every prospective student stands.
  • Fee and payment management with due dates, amounts collected and outstanding balances.
  • Payment follow-up tracking with status, ownership and history, so no follow-up is repeated or forgotten.
  • Homework class attendance marking with a per-student and per-batch view.
  • Pending dashboards that surface pending payments, pending follow-ups and pending attendance at a glance.
  • Role-based access so staff see what is relevant to them and management sees the full picture.
  • Reports and summaries that replace manually compiled registers.

The goal was to move the center off paper without adding administrative overhead, and to make sure the online presence actually converts into admissions rather than ending at a contact form.

Result

The center now operates from one system instead of a set of disconnected registers, spreadsheets and chats.
Staff can see every student, their fee status and their attendance in the same place. Payment follow-ups are tracked with a clear owner and history rather than being remembered, and pending counts are available immediately instead of being counted at the end of the month. Homework class attendance is recorded as it happens and is visible against each student.
On the parent side, the website now does more than describe the center. It explains the programs, answers the questions parents typically have and carries them through a defined path from enquiry to admission, with every submission landing directly in the administration tool.
Most importantly, the two sides are connected. A parent who enquires online becomes a record the team can act on immediately, and that same record follows the student through admission, fees, follow-ups and attendance. The center gained visibility over its own operation, and management no longer depends on individual staff members to know where things stand.

A parent-facing website and an internal administration tool. The website handles discovery, enquiry and admission. The administration tool handles students, fees, follow-ups and homework class attendance.

The entire operation was offline. Payment follow-ups, homework class attendance and pending counts were tracked manually, which made information unreliable and dependent on individual staff members.

Enquiries and demo bookings submitted on the website flow directly into the administration tool, where the team can track each one through to confirmed admission.

Parent and student details, course interest, location, preferred timing and any additional questions, captured through structured forms.

Each student has a fee schedule with due dates, amounts collected and outstanding balances, so the team can see payment status without checking registers.

Every follow-up carries a status, an owner and a history of what happened, so the team knows who to contact next and what was already discussed.

Yes. Pending payments are available as a live count and a list, rather than something that has to be totalled manually.

Attendance is marked in the system as the class happens and is visible per student and per batch, replacing the physical register.

Yes. Attendance records are stored against each student, so the team can review participation over time.

Yes. Dashboards surface pending payments, pending follow-ups and pending attendance in one view.

Access is role based. Staff see what is relevant to their work and management has visibility across the center.

No. Student records, fees, follow-ups and attendance are maintained in the system, which becomes the single source of truth.

Coaching institutes running admissions and daily operations offline that need one place to manage students, payments and attendance, and a website that turns interest into admissions.

Autuskey has delivered 300+ projects since 2015, ranging from single websites to full custom software platforms with multiple modules, for clients across India, the Middle East, Europe, and the US.

Where a client has agreed to it, we connect you directly with people we have worked with so you can ask candid questions about how the project actually went. It is one of the most useful checks you can make, and we encourage it.

Our portfolio spans wellness, hospitality and nightlife, residential and hostel management, and more, across all five services from audits to new product builds. Tell us your problem and we will point you to the closest examples rather than a generic showcase.

Because we start from the business problem, our case discussions focus on what the project was meant to change and what it did, not only how it looks. Where clients permit, we share the outcome and the reasoning behind the build, not just visuals.

We only show client work with permission and operate under NDAs where needed. Your project details stay confidential unless you explicitly agree to be featured, and you retain ownership of your code, data, and accounts throughout.

We do not clone past builds; we start again from your business problem so the result fits you, not the previous client. A past project is a useful reference point, and a Technology Audit & Roadmap is the usual first step to define what your own version should be.

Starting something new?

We help you build it right from day one so you never have to rebuild.
